#### How to get started

Add *Candidate Location* as a question on your application forms in Ashby. You have the option to configure the types of locations candidates are able to set.

Now, when candidates fill out your form they’ll have an easy way to enter their location and you’ll collect this as structured data when the application is submitted.

You also have the option to set this manually on the candidate profile summary.

#### Common use cases

When a candidate location is set manually or through the application submission, Ashby will automatically infer and set the candidate’s timezone based on that location. Setting this value based on the candidate’s location saves a step and helps streamline scheduling across timezones.

*Note: If you are using [auto-fill on your job applications](https://headwayapp.co/ashby-release-notes/auto-fill-for-job-applications-267746), Ashby can parse the location from a resume, auto-fill the location, and set the candidate’s timezone automatically!*  

Analyzing candidate locations is useful to inform your recruiting strategies. You can spot geographic trends and better learn where candidates are coming from to help maximize your recruiting efforts.

Performing bulk actions on candidates based on their location data becomes really powerful. You can create a list of previously archived candidates from your talent pool that were unwilling to relocate, and enroll them in an email sequence announcing the new office you’re opening up in their area.

As part of Ashby’s data-centric design you can use candidate location data as a shortcut in other places. Here, we’re setting it as the default value on a custom offer field to be automatically populated when generating an offer.

New Feature: Structured Location Data on Candidates

As we’ve highlighted in our recent [application trends report](https://www.ashbyhq.com/blog/recruiting/2023-trends-report-applications-per-job), companies are seeing a big influx in inbound applications. Our new Application Limits feature will help you enforce rules around your application process. We have seen first hand how these rules can have a positive impact on your hiring process by:  

-   Helping candidates be more thoughtful about their applications by picking the roles most relevant to them, rather than applying to a large number of open positions at your company
-   Limiting the application review burden for your hiring team which improves review times, candidate experience, and increases the likelihood of your team finding strong candidates within your applicant pool

With the introduction of “Application Limits“ you now have the ability to block job applications by setting limits on how often candidates can apply to your jobs in a given timeframe. This new control is perfect for scenarios where candidates excessively apply to multiple open jobs, or when you receive repeat applications from recently rejected candidates. Get started by using Ashby’s built-in filters to specify which Jobs your application limit rule should apply to. You can access all Job fields as filter criteria, allowing you to target jobs with precision.

Once you’ve set up the correct job filters, you can define the application limits you want to set. Typically, this breaks down into limiting the number of applications a single candidate can submit across jobs and/or disallowing rejected candidates to apply again. You can set a timeframe for each rule, ensuring you don’t block a candidate indefinitely. Check out the rules breakdown below:

-   Block candidates from applying more than X times over X days for any job
-   Block candidates from re-applying to the same role within X day(s) after a rejection
-   Block candidates from re-applying to any role within the job scope X day(s) after a rejection

  
You can also display a message to candidates letting them know if you have any application limits in place.

Optionally, you’ll be able to show a message to the candidate if they reach any application limit you’ve set for a given job.

This transparency takes the guesswork out of the candidate experience and reduces any out-of-process follow-ups you might receive from candidates.  
  
Ashby will show you which applications have been blocked based on the rules you set up, providing you a clear audit trail across your jobs.

We're excited about several scheduling improvements we've made in Ashby over the last few weeks. We're constantly listening to our customers to deliver features that optimize their workflows and enable them to be more productive.

These changes provide new tooling to help you move faster in your day-to-day scheduling and introduce a better experience for candidates to submit their availability more efficiently. Check out all the recent scheduling improvements below:

#### Minimum days of candidate availability setting

Enforce a minimum number of days candidates need to select when sending their availability. Setting this limit reduces back-and-forth communication delays and streamlines bookings. By default we’ll require two days, but you can adjust this number to suit your team.

#### A new availability experience for candidates

Candidates now have a much simpler workflow when sending you their availability. They’ll be able to set custom time ranges in fifteen minute increments.

We’ve also made it much easier to see validations for selecting minimum days and minutes for the interview schedule.

#### Viewing candidate availability while scheduling

Surfacing candidate availability at the right moment during the scheduling process is the kind of efficiency gain that compounds over time. We’ve added a number of improvements to the scheduling workflow to help you book candidates faster and keep them moving through your process.

Here’s how it works:

1. A “dot” on the month view indicates which days a candidate has availability. You can easily see candidate availability without searching day by day or leaving the scheduling flow.
2. The *Edit* button shown in the date picker is a shortcut to the Candidate Availability page where you can update availability without needing the candidate to submit it themselves.
3. You’ll also see a list of the candidate’s availability for the selected month under the date picker. Clicking into any of those days will jump the schedule to that date so you can finish creating the invite.

#### Two-way calendar sync back to Ashby

Rescheduling an interview from Google Calendar will now sync back to Ashby automatically. New invites will be sent out and the agendas for the meeting will update to reflect the new times so you don’t need to go back into Ashby at all. We’ll also log an activity feed item of the rescheduling and where it happened.

#### Interviewer notes and preferences

Employees can now set preferences on the Employee profile under the “Interviewer info” tab to communicate preferences during the scheduling workflow. This will show up alongside the Interviewer load limit providing a full picture of “Interviewer fit” for a particular interview.

You can also now click on an existing event to surface more details about interviewer availability to help make a truly informed scheduling decision. This makes it easier to schedule over existing events without having to switch to Google Calendar to review.

## Rolling out soon

#### Job title and social links (sneak peek)

You’ll soon be able to display job title and social links for an interview panel during the scheduling process. When employees set these values on their profile you can then expose them via the Interview Panel Summary token. Here’s what it looks like when preparing to send out calendar invites:

This is a huge time saver for scheduling coordinators that previously had to add this information manually. Candidate’s will also see the titles and social links on the direct booking confirmation page.

As these changes roll out keep an eye out for new tokens that will become available to use in your templates:

* Interviewers name
* Interviewers job title
* Interviewers social links

#### Candidate timezone field (sneak peek)

Soon you’ll have the ability to set a candidate’s timezone directly on their profile. This timezone will be used across all interviews ensuring consistency and discoverability while scheduling. There are a few ways this value can be set on the candidate’s profile:

* Any Ashby user with edit permission on a candidate can set the timezone manually.
* When a candidate submits a timezone via direct booking or candidate availability link, Ashby will save the timezone on the profile to match.
* If a timezone is not saved yet, Ashby will infer the timezone based on the location value in a candidate’s profile (you can override this).

Once you set up your template, you can insert an e-signature document request as an activity on your Job’s Interview Plan or set specific automation rules for creating the e-signature document activity. You can also send a one-off request from a candidate’s profile. You’ll be able to see when it was viewed, when it was completed, and send reminders throughout the lifecycle of the e-signature document request.
